01 / General introduction

Start with the PLN workspace.

Use this guide when signing in for the first time or when explaining the workspace to a new team member.

  1. Sign in and open the dashboard to review active tasks, planned surveys, invoices, and quick access cards.
  2. Use the sidebar to move between Tasks, Calendar, Chat, Inventory, Absences, Contacts, Invoices, Activity, and Settings.
  3. Check the dashboard cards first when you need a quick view of workload, upcoming plans, or billing status.
  4. Open a module from the sidebar instead of creating duplicate records in spreadsheets or messages.
  5. Use search, filters, and status fields inside each module to narrow the list before opening a record.

Before you move on

  • You know where to find each main module.
  • You can return to the dashboard for a current operational summary.
  • You understand that task records connect planning, activity, files, and invoices.

02 / Tasks

Create and manage survey tasks.

Use tasks as the main job record for survey requests, scope, responsibility, pricing, planning, and history.

  1. Open Tasks from the sidebar and review the task list by status, priority, assignee, due date, or client.
  2. Create a new task and enter the task name, client, location, survey type, priority, assignee, due date, and price when available.
  3. Add the survey description, required attachments, files, or notes so the field team has enough context.
  4. Save the task, then open the task details view to confirm the scope, map, pricing, status, and assigned users.
  5. Use comments and history on the task instead of sending separate updates outside the system.
  6. When the task is ready for field work, open the planning area and create the survey plan from the same task record.
  7. Update the task status as work moves from new or planned to in progress, completed, invoiced, or cancelled.

Before you move on

  • The task has a clear owner, due date, status, location, and survey type.
  • Important files and notes are attached to the task.
  • The task history shows the latest comments and changes.

03 / Calendar

Plan and review scheduled survey work.

Use the calendar to see field plans, absences, and resource load before committing a team to work.

  1. Open Calendar from the sidebar and choose the day, week, or month view that fits your planning horizon.
  2. Filter by surveyor, equipment, vehicle, or date range when the calendar has too much information at once.
  3. Click a planned survey event to review the task, assigned team, start time, end time, and linked resources.
  4. Use the task planning view when you need to create or edit a survey plan from the original task record.
  5. Check existing plans and absences before confirming a surveyor, instrument, vehicle, or multi-day schedule.
  6. Adjust planned times or assignments when conflicts appear, then return to the calendar to confirm the schedule.

Before you move on

  • The planned survey appears on the calendar.
  • Assigned people and resources are available for the selected time.
  • Absences and existing bookings have been checked.

04 / Chat

Use chat for internal communication.

Use PLN chat for team coordination that should stay inside the same environment as the work.

  1. Open Chat from the sidebar and choose an existing direct message or group conversation.
  2. Start a new conversation when a topic involves a specific person, team, or operational question.
  3. Write a clear message with the task number, client, date, or resource name when the conversation relates to work in another module.
  4. Attach files or supporting information when the message needs more context.
  5. Check read status and recent messages before sending duplicate updates through another channel.
  6. Move decisions back into the relevant task, plan, invoice, or inventory record when they affect official work data.

Before you move on

  • The right people are included in the conversation.
  • Important decisions are reflected in the related PLN record.
  • Files or context are attached when needed.

05 / Inventory

Maintain equipment, vehicles, and materials.

Use inventory so planning decisions are based on current resource availability and condition.

  1. Open Inventory and choose Equipment, Vehicles, or Materials depending on the resource you need to manage.
  2. Add new resources with a clear name, identifier, status, owner or location, and any required service or calibration dates.
  3. Review warnings for expired calibration, upcoming maintenance, unavailable vehicles, or low material quantities.
  4. Update resource status when equipment is in service, reserved, broken, unavailable, or ready for field work.
  5. Use the inventory record during survey planning so the selected equipment and vehicles match the actual schedule.
  6. Archive or remove resources only when they should no longer appear in planning and operational lists.

Before you move on

  • Resource names and identifiers are easy to recognize.
  • Service, calibration, and availability details are current.
  • Unavailable resources are not assigned to active survey plans.

06 / Global Control Points

Store, find, and navigate to control points.

Keep benchmarks, GNSS reference points, and temporary marks in one organization register so the next crew working nearby can reuse them instead of establishing new ones.

  1. Open Global Control Points and switch between the list and the map to see what the organization already has.
  2. Create a new control point with its name, coordinates, and a note describing how it was set and how far it can be trusted.
  3. Add a picture of the point so the next surveyor can recognise it on site.
  4. Use search to find a point by name, and enable task areas on the map to see which points serve the job you are planning.
  5. In the field, open a point and use navigation to route to it, or the camera guide to line up on the exact spot.
  6. Edit or delete points that were disturbed or destroyed so the register stays trustworthy.

Before you move on

  • Points carry correct coordinates, a useful note, and a picture.
  • The team knows to check the register before establishing a new point.
  • Destroyed or unreliable points are updated or removed.

07 / Absences

Request and manage team absences.

Use absence management to make vacations, time off, business trips, and unavailable days visible during planning.

  1. Open Absences and choose your own absence list or the team absence view if you have manager permissions.
  2. Create an absence request with the absence type, start date, end date, and note if the reason needs context.
  3. Submit the request and confirm it appears with the correct approval status.
  4. Managers should review pending requests, check the calendar load, and approve or reject the absence.
  5. Before planning field work, check whether assigned surveyors have approved or pending absences on those dates.
  6. Edit or cancel an absence when the dates change so the calendar and planning views stay accurate.

Before you move on

  • The absence has the correct dates, type, and status.
  • Managers have handled pending approvals.
  • Planning decisions account for approved absences.

08 / Contacts and Invoices

Manage clients and prepare invoices.

Use contacts for client records and invoices for billing work that has already been captured in PLN.

  1. Open Contacts and create or update the client record with company name, contact person, email, phone, address, and billing details.
  2. Open the completed task before invoicing and confirm the client, price, tax, description, and work status are correct.
  3. Create an invoice from the task or invoice module and select the correct contact, invoice date, due date, currency, tax, and payment terms.
  4. Review invoice line items and totals before marking the invoice as sent.
  5. Export the invoice as PDF or DOCX when you need to send or archive a document outside PLN.
  6. Update invoice status when it moves through draft, sent, paid, cancelled, or overdue.
  7. Return to the task record to confirm the invoice activity is visible in the task history.

Before you move on

  • The contact record has correct billing details.
  • The invoice totals, tax, currency, and due date are correct.
  • The invoice status matches the real billing stage.

09 / Activity and Reports

Log work and review operational totals.

Use activity and reports to record completed work, review time, distance, expenses, and understand team output.

  1. Open Activity and review recent logs for completed tasks, hours, distance, expenses, and comments.
  2. Add an activity entry from the relevant task when work has been completed or updated.
  3. Record the work date, user, task, time spent, distance, expenses, and notes with enough detail for managers to review.
  4. Use report filters for date range, user, task, or status when preparing monthly summaries or payout checks.
  5. Compare totals against planned work to find missing logs, unexpected expenses, or tasks that need follow-up.
  6. Export or share reports only after the underlying activity records have been checked.

Before you move on

  • Activity records are tied to the correct task and user.
  • Hours, distance, expenses, and notes are complete.
  • Report filters show the period and team members you intended to review.

10 / Settings

Configure company controls.

Use settings when company details, permissions, localization, invoice defaults, or workspace limits need to change.

  1. Open Settings from the sidebar and review company profile details before changing operational defaults.
  2. Invite or update users, then assign roles based on what each person should be allowed to view or manage.
  3. Check permissions for task control, planning, inventory, absences, invoices, reports, and administration.
  4. Set company localization values such as language, timezone, date format, time format, currency, and taxes.
  5. Review invoice settings so exported documents use the right company details, payment terms, and numbering rules.
  6. Monitor storage and upload limits before large files or project archives affect the workspace.
  7. After changing settings, ask affected users to refresh and confirm they see the expected controls.

Before you move on

  • Users have the correct role for their responsibilities.
  • Company, invoice, currency, and timezone settings are accurate.
  • Permission changes have been confirmed by an affected user.
